If you only get in touch with your IT provider when your contract is up for renewal, that approach is not ideal.

Question 1: What security issues should we be focusing on?


Every business has weak points. The key question is whether your IT provider is proactively finding and dealing with them before they turn into expensive problems.


Ask them:


  • Have you noticed any unusual login activity or anything that looks suspicious?
  • Are there any users, devices, or processes that are introducing avoidable risk?
  • Are there any systems that require security updates or patches?

What you want are clear details, not a vague claim that everything is secure.


A strong IT provider should be able to point out your main risks right now and clearly explain what's being done to manage them.


Question 2: When was the last time our backups were tested?


Backups only provide value if they can be successfully restored when needed.


It may sound straightforward, but many businesses believe they are protected simply because backups exist. Then a server goes down, ransomware disrupts operations, or important data is accidentally deleted, and suddenly no one is certain how quickly systems can be recovered.


Ask:


  • When did we last perform a complete recovery drill?
  • In the event of an outage, how much downtime should we realistically expect before systems are operational again?
  • What measures are in place to ensure backup data is protected and isolated from our live environment?
  • Does our backup plan extend to the cloud services and applications we rely on?

The last thing you want during an outage is uncertainty. You want confidence in a recovery process that has already been proven to work.


Question 3: What technology issues are affecting our efficiency?


The biggest drains on productivity are often not major system failures. They come from the small technology frustrations employees encounter every day that collectively reduce efficiency and slow progress.


An employee may spend small pockets of time waiting for an application to load, repeated many times over the course of the day. A sales call can be disrupted when a system freezes during an important presentation. In other cases, a tool is abandoned entirely because it is no longer dependable enough to use.


Ask your provider:


  • Are there any ongoing performance concerns we should be aware of?
  • Have we reached the limits of our current hardware or software?
  • Which systems receive the most negative feedback from our team?
  • Are there any technologies that should be upgraded, streamlined, or replaced?

Your technology should support productivity and efficiency, not force employees to work around ongoing frustrations.


Question 4: Are we still meeting required industry compliance standards?


Compliance requirements are always shifting, whether they relate to HIPAA, PCI-DSS, GDPR, cybersecurity insurance conditions, or other sector-specific rules.


A business that met compliance standards last year can unintentionally fall out of alignment over time without noticing.


Ask:

Ask them:
